How does the archive work?

The archive is a repository of media objects that are only visible to authorized users.

Basics

The archive can only be used and searched by users if the administrator has granted them permission. Therefore, it is possible that you may not be able to see the archive or archive functions.

How it works

Das Archiv ist an das Dataset end date bound. If this date is set and reached, the system will automatically archive the media object, or the product if using the PIM system.

This functionality allows for lifecycle management. True to our philosophy of never deleting media data, but always archiving or versioning it, the date provides a fast and simple way to remove records from the visible scope.

Automation is also possible with the API or when using the importer. By importing the date values according to a defined „key,“ such as the EAN/GTIN or a unique item number, this function becomes very powerful.

More options

The archiving can lead to manually activated at any time can be archived immediately. By checking a box, each media object and each product (PIM) can also be archived manually immediately.

Additionally, in the DAM system, there is the option  Buy-out (also part of the authorization). Buy-out is a rights holder management tool that allows customers to manage and service the rights of external licensees.

Example:

A picture was shot by a photographer who grants a buyout right for it, for example, for a defined use such as web, print, or even a geographic usage restriction like Germany only. All of this can be stored in the system. We can also enable the rights period to be maintained, meaning there is also an end date that can be used. If this end date is set and reached, equally automatic archivingt.

Use of the Archive

We recommend archiving only for internal use, to enable usage for all internal employees. This allows for ideal content control within the company, without data being lost that might be needed later, e.g., for secondary use.

Furthermore, it is important not to delete data, as the networking of data in the system can be very complex. Product to product, media to media, product to media, and everything bidirectionally. If you were to delete, these links would also be irretrievably lost.
